JOB TITLE: Human Resources Assistant
JOB SUMMARY: This position performs administrative and secretarial support to the department.
MAJOR DUTIES:
Provides information regarding application process and procedures; refers to proper department.
Types memos, letters, and application receipt notifications.
Processes and distributes bonus check requests.
Prepares applications and demographic information for the screening process; screens applications; forwards applications and hiring packets to appropriate personnel.
Monitors online job search engines for hits on posted positions.
Enters employee direct deposit information; enters address changes.
Updates vendor information.
Updates and replenishes job announcement and application kiosks.
Files and copies documents.
Sorts and distributes mail.
Performs other related duties as assigned.
KNOWLEDGE REQUIRED BY THE POSITION:
Knowledge of modern office procedures and practices.
Knowledge of city recruitment, application, and hiring process.
Skill in the operation of computers and other standard office equipment.
Skill in oral and written communication.
SUPERVISORY CONTROLS: The Human Resources Coordinator assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.
GUIDELINES: Guidelines include department standard operating procedures, personnel policies, HIPAA regulations, federal and state regulations, and supervisory instructions. These guidelines are generally clear and specific, but may require some interpretation in application.
COMPLEXITY: The work consists of related administrative and supervisory duties.
SCOPE AND EFFECT: The purpose of this position is to provide administrative and secretarial support for the department. Successful performance contributes to the efficiency and effectiveness of department operations.
PERSONAL CONTACTS: Contacts are typically with co-workers, other city employees, and the general public.
PURPOSE OF CONTACTS: Contacts are typically to give or exchange information, resolve problems, and provide services.
PHYSICAL DEMANDS: The work is typically performed while sitting at a desk. The employee occasionally lifts light objects.
WORK ENVIRONMENT: This work is performed in an office.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY: None.
MINIMUM QUALIFICATIONS:
Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
